Tip Sheet for ILL transactions with the Nebraska Library Commission

Please share this with all of your staff and volunteers at your library or media center.

Making requests for materials:

Library staff may request ILL materials by filling out our online request form or by contacting us by email. You will receive a confirmation that we received your request for ILL materials. Requested materials may take one to two weeks to arrive and may take longer if they are coming from an out-of-state library. Please contact us if you haven't received your requested item in over two weeks. Unfortunately we cannot request books or DVDs published within the last 12 months, as libraries are unwilling to lend their newer materials.

Using email to request ILL materials:

If you choose to email your request, it is important to use this address and not an individual email account of a staff person at the Library Commission. This email account is delivered to the Reference Team and is always staffed, so we can assure we will always attend to your messages in a timely way.

If you want to contact us by phone:

You may call us at 800/307-2665 8:00-5:00, Monday - Friday to speak with a staff member. Feel free to leave a message with the pertinent information on our voicemail if you call when we are closed.

When you receive your requested ILL materials:

Please contact us when items you have requested arrive at your library. When we make requests on your behalf, the lending library sends items directly to you. Please tell us the name of your library, the title of the item, and the ILL ID number. The ILL ID number should be on the paperwork that accompanied the ILL delivery. The ILL ID number will definitely be in the confirmation email we sent you when we placed the request.

Make sure the item is what you requested. If it's not, let us know as soon as you can. Check the item for damage, and let us know if there anything to note before you give the item to the patron. If you receive an ILL you didn't request, let us know right away. The lender may have sent it to the wrong address, but someone else is waiting for that ILL. We appreciate your cooperation!

When you return your requested ILL materials to the lender:

Please contact us and tell us which items you are returning with the title(s) and ILL ID number(s) so we can complete the transaction. You may use Library Rate and please remember to ask for free tracking information from your post office for your item. If you have any questions about due dates or return addresses, let us know.

Renewals:

If you will not be able to return the ILL items to the lender by the due date, please contact us a few days before the due date, and let us know the ILL ID number and title of the item that you'd like to renew. We will contact you with the new due date or let you know if the renewal was denied.

Once you have asked us to try to renew, you can wait to return the item until we get back to you with the lender's answer. Please don't hesitate to ask for a renewal on any item that might go overdue. It's better to ask for a renewal you don't need, than to have an ILL go overdue. You don't need to talk to the patron before you ask us to try to renew.
